Who handles your information

What the form sends

Your name, business name, telephone number, email address, enquiry type, vehicle requirements and the website page from which you enquire are sent to our trade desk. A request reference and a limited security identifier help control duplicate submissions and abuse. Do not include identity documents, bank details or private information about your customers.

Why we use it

We use the information to respond to your request, discuss a potential business transaction and protect the form from misuse. We rely on legitimate interests in handling relevant business enquiries and maintaining website security, and on steps towards a contract where applicable. The form does not subscribe you to marketing emails.

Delivery and access

Website hosting and email providers process the information to operate the form and deliver it to sales@trustedmotors.co.uk. It is not published on the website. Only people and providers who need the information to handle the enquiry or operate the service should have access.

Keeping information

Enquiry correspondence is retained only as needed to handle the enquiry and any resulting transaction, legal obligations or disputes. Retention depends on whether an enquiry becomes a transaction. Ask us for the applicable retention information or to delete an enquiry that is no longer needed. Form-level anti-abuse records contain no message text or email address and expire from active state after 24 hours.

Dealer lead register

New website enquiries accepted for email delivery are also recorded in a staff-only register with the business name, email, enquiry reference, enquiry type and originating page. If the page carries a campaign label, this is recorded to understand which marketing produces relevant enquiries. Staff can record qualification, quotations, purchase outcomes and limited follow-up notes. These stages are entered by staff, not inferred from visits. Register entries are removed after 12 months without an update when routine housekeeping next runs; necessary transaction and correspondence records may be retained separately. No advertising trackers or open-tracking pixels are used by this register.

Optional dealer stock emails

The stock-alert form is a separate, voluntary marketing subscription. We store your business email, business name, chosen make, vehicle type, budget and mileage, confirmation time and consent wording version. We use your consent to send matching stock emails, up to once a week. Submitting an ordinary enquiry never subscribes you. A confirmation email is sent first; you must confirm using the private link before stock emails can be sent. New unconfirmed requests expire after seven days and are removed during routine housekeeping.

Every stock email includes a private preference link to change your choices or unsubscribe. The link does not require a password: anyone you share it with could change your preferences, so keep it private. Unsubscribing stops subsequent stock sends; an email already handed to the mail provider may still arrive. We retain the email address, subscription reference, opt-out status and consent history to prevent unwanted stock emails. Preference fields are reset on unsubscribe; you can choose new preferences and explicitly subscribe again using your private link. Email dispatch records contain status and subscriber reference and are retained for up to 12 months; the relay’s short-lived security ledger expires after 24 hours. We do not sell subscriber details.

Relevant business introductions

We may contact a limited company through its published business contact address about relevant trade-stock opportunities. Where this involves personal information, we assess our legitimate interest in a proportionate business introduction against the recipient’s expectations and rights. We record the public source and do not buy bulk contact lists. A direct introduction does not enrol anyone in stock alerts. Reply “no further contact” or contact the trade desk to object; we retain a suppression record to honour that choice. We do not use this approach to send unsolicited emails to sole traders or other individual subscribers without the required permission.

Your choices

You can ask us to access or correct your information, object to its use, or request deletion or restriction where applicable. Contact the trade desk using the details above. You can also raise a concern with the Information Commissioner’s Office.

Other contact services

Using an email or WhatsApp link opens that provider’s service, which operates under its own privacy terms. You can telephone us instead. Sending an enquiry does not create a purchase agreement.
